Exhibitor Terms and Conditions Agreement
​1. Booth Assignment:
Agreeing to these Terms and Conditions initiates the process of joining our event without any immediate commitment. Your application will undergo thorough review by our team. Only upon approval will you be invited to proceed with confidence, securing your booth reservation.
2. Payment:
Your choice of available booths can be conveniently selected and purchased through our online room diagram. Booth purchases are final and are non-refundable. Exhibitors have the right to withdraw their participation before selecting or making any payments for their booth reservation without incurring any issues. We understand that circumstances may change, and exhibitors should feel confident in their decision-making process.
3. Set-Up and Tear-Down:
The Exhibitor must adhere to the specified set-up from 8:00 am to 11:00 am on the event day.
Exhibitors are expected to complete their setup within this timeframe.
No exhibits may be dismantled or removed before the official tear-down time at 5:00 pm.
4. Booth Display:
The Exhibitor is responsible for the design, setup, and breakdown of their booth.
Displays must not obstruct neighboring booths or aisles.
All signage and displays must be placed inside the exhibitor's booth space.
5. Media Consent and Usage Rights:
By participating as an exhibitor at our events, you hereby grant Vista Media Promotions (VMP) the irrevocable right and permission to photograph, video record, and capture images of your booth area, displayed products, and animals during the entire event. You further grant VMP the right to use, reproduce, publish, and distribute these images for promotional and advertising purposes, including but not limited to digital and print materials, social media, and the Vista Media Promotions website. This consent extends to any employees or agents acting under VMP's authority. Exhibitors retain no rights of ownership or approval over the use of these images. VMP is not liable for any compensation or remuneration for the use of these images.
6. Conduct:
Exhibitors must professionally conduct themselves at all times.
Any behavior deemed inappropriate or disruptive may result in removal from the expo without a refund.
7. Insurance:
The Exhibitor is responsible for obtaining any necessary insurance coverage for their booth, displays, and products.
8. Liability:
The Organizer is not liable for any loss, damage, or injury to the Exhibitor's property or personnel.
The Exhibitor is responsible for their property and must secure their booth when unattended.
9. Marketing and Promotion:
The Organizer may use the Exhibitor's name and logo for marketing and promotional purposes related to the expo.
10. Cancellation:
The Organizer reserves the right to cancel the expo for reasons beyond their control. In such cases, booth fees will be refunded on a prorated basis.
11. Governing Law: - This Agreement is governed by the laws of Virginia.
12. Changes to Agreement: - The Organizer reserves the right to modify or update these terms and conditions.
Exhibitors will be notified of any changes.
13. Termination: - The Organizer reserves the right to terminate this Agreement if the Exhibitor breaches any terms.
